Events Policy:

Payment for events must be made in full to secure your registration. These payments help us reserve accommodations and transportation, purchase food and supplies, and make other commitments necessary to organize each event. We understand that plans can change.

Cancellations received 60 or more days before the event begins are eligible for a full refund. Cancellations received 31–59 days before the event begins are eligible for a 50% refund. No refunds will be issued for cancellations received 30 or fewer days before the event begins, except when you successfully arrange for someone else to take your place. If you arrange for a replacement participant, your payment will be refunded once their registration and full payment are confirmed. We are not responsible for finding a replacement or filling your vacancy.

Please submit cancellation and replacement requests in writing to [email protected]. Refund eligibility is determined by the date we receive your cancellation request, measured against the event’s scheduled start date. For multi-day events, the first day of the event is used.

If we cancel an event entirely, all event payments will be refunded in full. We cannot reimburse travel, accommodation, or other expenses booked independently.
